INVOICEGUARD GUIDE

How to compare an invoice with a purchase order

When a supplier sends an invoice, matching totals alone can miss wrong quantities, unexpected products and increased unit prices. Line-by-line purchase order reconciliation checks what you agreed to buy against what was invoiced.

Six checks worth making

  1. Match product SKU or item description.
  2. Compare ordered and invoiced quantities.
  3. Compare unit prices, allowing only your chosen tolerance.
  4. Find products present in the order but missing on the invoice.
  5. Find unexpected products on the invoice.
  6. Flag repeated invoice rows that may be duplicates.

Quick method using InvoiceGuard

Export your purchase order to Excel or CSV. Upload it beside the invoice (Excel, CSV or a text-based PDF). Inspect the proposed matches and review any differences. Download the CSV findings to share with the supplier or purchasing team.

What this does not replace

Tax treatment, currencies, supplier identity, delivery receipts, credits and approval workflows require separate checks. If your invoice is scanned, or the PDF layout is complex, use a spreadsheet version or verify the original document manually. InvoiceGuard processes documents locally in your browser.
